Documentation Specialist

Job Title: Documentation Specialist
Reports to: Operations Manager and VP, Operations
Department: Operations/Administration

Purpose

The Documentation Specialist is responsible for preparing and managing documents for approved transactions, receiving and vetting of completed documents, ensuring Essex’ security position through PPSA, co-ordinating vendor payments and booking contracts into the portfolio management system.

Individual Key Contributions/Responsibilities

Administration & Documentation

    • Prepare lease and loan documentation for new transactions, send out for signing through DocuSign, vet completed documentation packages to ensure conformity to approval terms and, ensure all standard security requirements are met to ensure Essex’ security is properly protected
    • Effect PPSA Registrations, and searches and waivers if applicable, on all new transactions to confirm Essex is in a priority secured position
    • Request and verify adequate insurance coverage on leased or collateral equipment subject to contracts
    • Accurately enter and post transactions into portfolio management system (Aspire)
    • Assist sales force with obtaining required items for thorough preparation of documents and complete funding packages
    • Accurately and effectively process approved contract modifications and terminations
    • Process full and partial contract payouts, including related amending agreements and documentation

    • Keep abreast of changes and developments in the industry and in technology applicable to Essex
    • Keep abreast of changing rules and regulations pertaining to government legislation affecting the business unit and the industries which Essex serves

    • Make customers and business contacts feel comfortable, important and secure in their dealings with us, whether in person, by phone, or by correspondence

Personal Conduct

    • Maintain physical site and departmental security in accordance with departmental and corporate policies
    • Maintain strict confidentiality of Essex’ operations, customers and business partners.
    • Identify and investigate any questionable situations/transactions to protect Essex’ position against possible loss

Qualifications and Assets

  • Prior Documentation and/or Lease/Loan Administration
  • Post secondary education in Business Administration or Finance would be an asset
  • Knowledge of PPSA registration systems would be an asset
  • Understanding or familiarity of contract law would be asset.
  • Must have proficient knowledge of Microsoft products (Word, Outlook, Excel)
  • Knowledge of T-Value (amortization software) would be an asset
  • Working knowledge of financial leasing and portfolio management software (Aspire)
  • Ability to quickly learn new products and technology
  • Must have the ability to prioritize heavy workloads and work effectively under pressure in a fast-paced environment
  • High degree of organization with ability to multi-task and meet competing deadlines 
  • Detail oriented with a focus on accuracy
